Privacy Notice

1. Who we are
Ring Rescue UK is operated by AI Ring Rescue, based in the United Kingdom. We are the data controller for the personal data described in this notice.
2. What we collect and why
- Contact and account details (name, business name, email, phone, login credentials) — to create and run your account and provide the service. Legal basis: performance of our contract with you.
- Business configuration (services, prices, hours, service area) — to configure your receptionist. Legal basis: contract.
- Call and enquiry records (caller name, phone number, address, job details, transcripts and summaries) — to answer calls, book jobs and give you a record of them. Legal basis: contract, and our legitimate interest in operating the service.
- Support messages — to answer your questions. Legal basis: legitimate interests.
- Usage and technical data (device identifiers, IP address, log and telemetry data) — for security, fraud prevention, troubleshooting and improving the product. Legal basis: legitimate interests.
- Marketing communications — only where you have consented or where we have a legitimate interest in contacting an existing customer. You can opt out at any time.
Where we have a legal obligation (for example accounting records) we process data on that basis.
3. Who we share it with
- Service providers and subprocessors — hosting, database, telephony, AI model providers, analytics and support tooling, acting on our instructions.
- Paddle.com — our Merchant of Record, for the sale of our products, subscription management, payments, invoicing and tax compliance.
- Professional advisers — legal and accounting, where needed.
- Authorities — where required by law.
We do not sell personal data.
4. International transfers
Some of our providers are outside the UK/EEA. Where data is transferred, we rely on adequacy decisions or Standard Contractual Clauses together with appropriate additional safeguards.
5. Retention
We keep account and configuration data while your account is active and for up to 12 months afterwards. Call records and transcripts are kept for up to 24 months unless you ask us to delete them sooner. Financial records are kept for 6 years to meet tax obligations. After that data is deleted or anonymised.
6. Your rights
Under UK and EU data protection law you have the right to access, rectify, erase, restrict processing of, or port your personal data, to object to processing, and to withdraw consent at any time. Contact us via the enquiry form on our homepage and we will respond within one month. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk) or your local supervisory authority.
7. Security
We use appropriate technical and organisational measures, including encryption in transit, access controls and row-level database restrictions so each customer can only see their own data.
8. Cookies
We use essential cookies and local storage to keep you signed in and to keep the site secure. Any analytics or marketing cookies are only set with your consent, and you can manage or clear cookies at any time through your browser settings.
